Easily connect to BigQuery data using Saved Queries in Connected Sheets We’re launching direct access to the BigQuery saved queries feature directly from Connected Sheets. Scan documents easier using Google Drive on Android devices To improve upon the scanning experience in the Google Drive app on Android devices, we’re increasing the size and updating the style of the scan buttons. To scan something, open the Drive app on your Android device > scan a document > edit scan (if desired) > upload to Drive. | Rollout to Rapid Release domains is complete; Rolling out now to Scheduled Release domains, with expected completion by June 30, 2025. | Available to Google Workspace customers, Google Workspace Individual subscribers, and users with personal Google accounts. | Visit the Help Center to learn more about scanning documents with Google Drive.

Scan documents easier using Google Drive on Android devices

Chat apps can now create spaces with their own identity using the Google Chat API

Last year, we introduced a feature through the Google Workspace Developer Preview Program that enables Chat apps to create spaces and memberships - using application identity - via the Google Chat API. This update further enhances Chat apps for real-time collaboration and allows for even more sophisticated and autonomous Chat apps by eliminating the need to create spaces and memberships on behalf of a user. This week, we’re excited to announce that this is now generally available for Google Workspace developers. | Rolling out now to Rapid Release and Scheduled Release domains. | Available to all Google Workspace customers. | Visit the Developer blog to see an example and learn more about what this means for developers. Export Gemini responses to a Google Doc or Sheet from Gemini in the side panel of Google Drive

Users can collaborate with Gemini in Google Drive to perform various tasks, such as extracting data, drafting proposals, creating study guides and more. We’re excited to build upon this by giving users the ability to convert Gemini’s response directly into a Sheet or a Doc. Export Gemini responses to a Google Doc or Sheet from the Gemini side panel in Google Drive

Create even more interactive YouTube assignments in Google Classroom

In 2024, we added AI-suggested questions that educators can easily attach to the video based on its content to save educators time. Today, we’re excited to announce that we’re expanding the collection of YouTube videos that have AI-suggested questions available. As a result, educators can create even more interactive YouTube assignments in Classroom more quickly and efficiently, with the help of Gemini. Before assigning the interactive video activity, educators will be able to edit the suggested questions ahead of attaching the YouTube video to the assignment. | Rollout to Rapid Release and Scheduled Release domains is complete. | Available for Google Workspace Education Plus and the Teaching and Learning add-on. | Visit the Help Center to learn more about interactive questions for YouTube videos in Google Classroom.

Your users can now express interest in upgrading their Google Workspace subscription We’re introducing a simple way for Workspace end users to request an upgraded edition of Google Workspace from their admins. To send this request, Workspace end users will see a path to request an upgraded Workspace edition including additional Gemini features when they interact with Gemini, such as with the Gemini icon displayed across Workspace apps. This interaction will provide an end user a path to complete a request form for an upgraded Workspace edition. Super admins will receive this request by email, and from there they can choose to upgrade their Workspace subscription directly in the Admin console. | Admins can disable these requests at any time in the Admin console by going to Account > Account Settings > Gemini for Google Workspace, and deselecting the ‘User-requested upgrades’ setting — use this article in our Help Center for more information. | Please note this is only available for customers in the US and India with fewer than 300 licenses. | Rolling out now to Rapid Release and Scheduled Release domains. | Learn more about Gemini for Workspace, including our recent Gemini for Workspace announcements.

At Google Cloud Next 2025, we introduced Gemini in AppSheet solutions for AppSheet Enterprise Plus users. Now you can automatically extract key information from uploaded photos, parse through complex PDFs, or even categorize, route and prioritize incoming requests based on their content – all seamlessly within your existing AppSheet apps. Upcoming Changes to Microsoft Exchange Migrations

Beginning May 31, 2025, the legacy Data Migration Service will no longer support migrating email, calendar, and contact data from Microsoft Exchange on-premises servers (e.g., Exchange 2010, 2013, or 2016). Upcoming Changes to Microsoft Exchange Migrations

What’s changing Beginning May 31, 2025, the legacy Data Migration Service will no longer support migrating email, calendar, and contact data from Microsoft Exchange on-premises servers (e.g., Exchange 2010, 2013, or 2016). Admins will not be able to start new migrations after May 31, 2025 – migrations that are in progress will continue until completion.
Instead, admins can use the Google Workspace Migration for Microsoft Exchange (GWMME) data migration tool to perform these migrations. This tool can be run on Windows machines and supports migration from Microsoft on-premises Exchange servers. We highly recommend all admins to start leveraging Google Workspace Migration for Microsoft Exchange as soon as possible.

You’ll see warning banners letting you know that support for on-premises Microsoft Exchange data migration will be ending on May 31, 2025 and to use Google Workspace Migration for Microsoft Exchange instead

If you need to migrate Microsoft Office 365 content from online sources, you can use the Microsoft Exchange Online to Google Workspace tool, part of our new Data migration service.

AI Made Easy & Powerful: Integrating Gemini into AppSheet significantly simplifies how you incorporate advanced AI functions, such as data extraction and categorization, into your apps. It's designed to be user-friendly and effective:

Get started quickly: The extract and categorize AI capabilities work out-of-the-box once enabled (see "Getting started" below).
Customize with context: Easily add additional context or instructions to tailor the results to your specific needs.

Here are just a few examples of what you can do:

Extract Information:

Have technicians snap a photo of equipment; use the AI Task to automatically extract the Serial Number, Model Number, or Meter Reading into your AppSheet table.
Process uploaded purchase orders (PDFs) or photos of shipping labels to extract PO numbers, company names, tracking numbers, or addresses.
Extract key details like location, date, or names from incident reports.
Extract purchase details from a PDF contract, categorize order details by fulfillment team, and assign follow up action items.

Categorize Records:

Analyze the description in employee expense submissions and automatically categorize them by type ("Travel", "Meals", "Software", "Training").
Read incoming facility maintenance requests and categorize them by urgency ("High", "Medium", "Low") or equipment type ("HVAC", "Plumbing", "Electrical").
Classify customer survey responses or feedback form submissions into types like "Bug Report", "Feature Request", "Positive Feedback", or "Billing Inquiry".

Beginning today, we’re pleased to announce that extensions for these apps are now generally available.Who’s impactedAdmins and end usersWhy you’d use themWhen enabled, Gemini can interact with other Google apps and services to provide more contextual and relevant responses to your prompts and take certain actions across apps. For example, you can:

Gmail: ask what dates were proposed in the email about the team offsite.

Drive: find the document about the website clean-up project and summarize the proposal in a few bullet points.

Docs: reference a Doc that outlines your target audiences while performing customer research in parallel.

Calendar: create an event based on specific details or based on the conversation with the Gemini app, find events for a specific day or date range, modify events in Calendar.

Tasks: add reminders and tasks, including those based on your conversations with Gemini, or view and update a list of your tasks.

Keep: create notes and lists, add items to an existing list, find content from your notes and lists, and reference your notes and lists in conversion with Gemini.

Additional details

Context aware access support:

Like all Google apps, context-access aware policies can be applied to the Gemini app. Note that at the moment, CAA policies can only be applied to Gemini on the web, they cannot be applied on mobile.
If these policies are not met, users will not be allowed to access Gemini.
If a user meets the Gemini app specific CAA policies, they can interact with Gemini. If a prompt requires access to Workspace data, CAA policies will determine if a user has access to the requested data. For example, if a user asks Gemini "What are my unread emails?", they will see the requested content if they have access or they’ll receive an error message.

Getting started

Admins: Access to Workspace apps is controlled by the new “Allow access to Workspace apps after Beta (upcoming general availability)” setting. Access is ON by default unless you previously took action on the setting leading into general availability. Visit the Help Center for more information on turning Workspace apps in Gemini on or off.
End users: If enabled by your admin, connecting Google Workspace allows users to summarize, get quick answers, and find information from Calendar, Keep and Tasks in addition to Gmail, Docs, and Drive directly in Gemini. Visit the Help Center to learn more about using Google Workspace extensions.

What’s changingEarlier this year, we made it easier for Google Sheets users, ranging from small business owners to marketing analysts, to visualize and analyze data using Gemini in Sheets. Since then, users have asked Gemini questions about their data and used AI to generate charts and valuable insights, such as contextual trends, patterns, and correlations between different variables in their data.
Analyzing and manipulating data in spreadsheets can be complex and time-consuming, even for experienced users. Today, we're introducing powerful new editing options within Gemini in Sheets that are designed to help everyone accomplish more, faster.
Building on the success of Gemini's ability to generate charts and insights, you can now use natural language to make changes to your spreadsheets that would previously have required more advanced expertise.

See Gemini in Sheets bring your data to life with powerful editing capabilities.

Now, instead of needing to know the specific name of a feature or how to navigate through various menus, you can simply describe what you want to accomplish. For instance, you can ask Gemini to perform these types of edits in Sheets:

Create dropdowns: Easily add data validation dropdowns to your sheets. For example, ask Gemini to "create a dropdown for product categories in column B".
Apply conditional formatting: Highlight key data points with custom formatting rules. Try prompts like, "highlight sales above $1000 in green".
Generate pivot tables: Summarize and analyze large datasets with automatically generated pivot tables. Ask, "create a pivot table showing total sales by region".
Apply filters: Quickly narrow down your data view. For example, "filter the sheet to only show orders placed in April".
Sort data: Organize your data for better analysis. Use prompts like, "sort the sheet by revenue, highest to lowest".

After Gemini generates the edit, a preview card appears detailing the changes. Simply click "Apply" to implement them or select the "undo" option and a settings icon lets you refine the edit to your exact needs.

Why you’d use it This update brings a new level of intelligence to Sheets, allowing you to modify your spreadsheets using natural language. Instead of navigating through multiple menus or performing numerous manual steps, you can simply tell Gemini in Sheets what you want to do. For example, quickly format your data for better readability, create dropdowns to streamline data entry, or generate pivot tables to summarize key trends with simple, intuitive commands.

Gemini in Sheets currently operates on a single table range at a time.
Conditional formatting has the following limitations:

Gradient conditions are not supported.
Text formatting options (bold, italic, strikethrough) are not supported.

Dropdowns have the following limitations:

Multi-select dropdowns are not supported.
Selecting colors is not supported.
Selecting from a range is not supported.
Advanced options (invalid data reaction, display style) are not supported.

Pivot tables have the following limitations:

Calculated columns are not supported.
Pivot groups are not supported.

Getting started

Admins: To access Gemini in the side panel of Workspace apps, users need to have smart features and personalization turned on. Admins can turn on default personalization setting for their users in the Admin console.
End users:

If Gemini in the side panel is closed, you can:

Navigate to a folder, and click on the “Summarize this folder” button, or;
Right-click on a folder in the doclist, and click on “Ask Gemini” in the context menu, or;
Select a folder in a doclist, and click on “Summarize this folder” in the selection toolbar.

If Gemini in side panel is already open, you can:

Drag and drop a folder from the doclist into the side panel, or;
@-mention a folder in the side panel’s textbox.

If you are searching for a folder, you can:

Click the Gemini icon next to the folder in the search dropdown box.

2.5 Pro Preview: our latest Pro experimental model is now available in the Gemini app We’re pleased to introduce Gemini 2.5 Pro Preview, the latest evolution of our 2.5 Pro experimental model. 2.5 Pro Preview continues to improve on the execution of complex tasks and delivery of enhanced response accuracy previously found in 2.5 Pro experimental. Pre-configure Gemini app conversation history admin settings before they take effect

Starting this week, Workspace admins can pre-configure the new Gemini conversation history admin settings before they take effect for their Gemini app users (expected by the end of May 2025). By default, “Gemini conversation history” will be ON and ”Conversation retention” will be set to 18 months (inline with current behavior). | Learn more about the new admin setting.

Gmail will soon stop support for the 3DES encryption cipher for incoming SMTP connections

Gemini app reporting now available for all Google Workspace for Education customers

What’s changingEarlier this year, we introduced Google Vault support for the Gemini app on web and mobile for select Google Workspace editions. Beginning today, this functionality is available for Google Workspace Education Fundamentals customers as well.Admins can use Vault for eDiscovery tasks to search Gemini app conversations and create an export of your search results. Specifically, the following actions can be taken around Gemini app data:

Search prompts and responses with a number of filters, such as user and date, to quickly refine your search. These searches can be across groups of users or by Organizational Units (OUs) up to 5000 in size.

Export conversations in an XML format for the above searches via the UI or API.

For more information, please refer to our original announcement. In addition, Google Workspace Admins can view aggregate reports of Gemini usage in their domain using Admin Console.
Additional details

Workspace for Education Admins can also view aggregate usage reports of the Gemini app through Admin Console under Generative AI > Gemini Reports.

What’s changingThe Gemini mobile app now supports voice conversations for Google Workspace users. The “Live” feature leverages Gemini’s multi-modal capabilities allowing you to ask questions and receive spoken responses in a selection of natural-sounding voices. You can even interrupt Gemini to ask clarifying questions or change the topic mid-response, providing a more intuitive and conversational experience. A few ways you can use Gemini Live are:

Talk back and forth: brainstorm with Gemini to come up with ideas for a new marketing campaign, strategy for a sales meeting with a new prospect, or potential thesis topic

Explore: discuss potential features for a new product or questions for a research paper

Practicing aloud: practice and receive feedback on a sales pitch or a class presentation

Share your camera or screen: turn on your camera or share your screen to show Gemini what you see and talk about it.

Bring context to conversations: add a specific image, file, or YouTube video.

Additional details

Gemini Live is available for users 18+.
For users with a work or school Google Account and access to the Gemini app, Gemini Apps Activity is on and can’t be turned off and you can’t delete your Gemini Apps activity.

Your Gemini Apps Activity includes activity from the Gemini web app and the mobile app. When you delete your chats with Gemini for Workspace inside a Workspace app, this does not delete any information that is saved to your Gemini Apps Activity.
Currently, if you use the Gemini web app or mobile app with your work or school account, your Gemini Apps Activity is turned on and your conversation history is retained for 18 months.
Important: For work users who have access to Gemini Apps as an additional service, while Gemini Apps Activity is on, Google collects your Gemini Apps conversations and other information you provide to improve and develop Google products and services and machine-learning technologies. What’s changingWe know creating compelling video can be complex. To address this, Google Vids has released a host of AI-powered features that make it easier to create video. Starting today, we’re excited to build upon this by introducing the ability to generate high-quality, custom video clips directly within Vids using Veo 2.
Whether you need to illustrate a point or want to add visual flair, simply click the “Generate video” icon in the right sidebar of the Vids editor. After typing in your prompt and clicking “Create”, a preview will appear and selecting “Insert” will add the generated content directly into your Vid.
Powered by Veo 2, this new experience lets you generate realistic motion and diverse styles that supplement content and tell a more powerful story.
Here are some examples of how you’d use it and sample prompts:

A marketing team can create customized assets for branded storytelling: “A cutting-edge, aerodynamic self-driving car in a sleek, dark metallic finish glides effortlessly along a serpentine coastal highway.”
A learning and development manager can illustrate a safety training module: “Wide angle panning shot of two cell phone tower technicians actively working on top of a cell phone tower in Colorado in a stunning natural landscape”
An educator can visually explain a concept: “Colored dust floating around an airplane wing showing aerodynamics”

Granular OAuth consent in HTTP Google Workspace add-ons

What’s changingGranular OAuth consent is rolling out over the next few weeks for Google Workspace add-ons built using HTTP endpoints. Granular consent gives users clear choices about the data they share with third-party applications.This update is similar to an update made earlier this year with the introduction of granular OAuth consent in the Google Apps Script IDE: when someone installs or runs an HTTP Workspace add-on that supports granular consent, they will see a redesigned consent screen. Instead of being asked to authorize all requested permissions at once, users can selectively grant access to individual OAuth scopes.For example, Google Workspace add-ons can extend to multiple Workspace apps, but users might only use an add-on for some of the apps it extends. With granular consent, users can choose to grant all permissions to an add-on or grant permissions as needed when they use the add-on in each app.

This screenshot shows the new OAuth consent screen, which lets the user provide consent for a subset of the requested OAuth scopes.
Additional detailsFollowing is the timeline for developers supporting granular consent in HTTP Google Workspace add-ons:

New HTTP Google Workspace add-ons built after May 27, 2025 must support granular consent.

Existing add-ons have until December 1, 2025 to add support for granular consent.

After December 1, 2025, all HTTP Google Workspace add-ons must support granular consent.

After a user grants permission to a Google Workspace add-on that supports granular consent, the add-on might request OAuth consent again in the following cases:

The user, who has granted consent to a subset of the requested OAuth scopes, tries to run a part of the add-on that requires scopes that were not previously authorized.

The add–on is updated in such a way that it requires permission for additional scopes.

The user revoked access to the add-on from their Google Account settings.

This update does not apply to the following scenarios, for which granular consent may become available in the future:

When an admin initially installs an add-on

When an admin updates the permissions granted to an add-on from the Admin console

If a Google Workspace add-on is built in Apps Script

What’s changingStarting May 30, 2025, we will no longer support the Triple Data Encryption Standard (3DES) for incoming SMTP connections. After May 30, 2025, email systems using 3DES for SMTP connections will be unable to deliver emails to Gmail accounts. This change is necessary to improve our security and protect you from potential vulnerabilities associated with outdated encryption methods.To prepare for this change, please ensure that all of your sending systems are configured to use more modern and secure TLS ciphers. A list of supported ciphers can be found in our Help Center.Getting started

Admins:

Visit our Help Center to learn more about Ciphers for Gmail SMTP TLS connections.

If your domain has recently sent messages to Gmail using 3DES, you have also received notification via email with additional information.

If your end users are receiving these types of messages, they will see a warning informing them that this specific cipher will no longer be supported. Visit the Help Center to learn more about checking your email traffic sent over 3DES connections.

[Update - May 8, 2025]: This enforcement of these settings is anticipated to start on May 22, 2025. We will share another update in the coming days to provide final confirmation and further details about the rollout.

What’s changingStarting today, Workspace admins can pre-configure the new Gemini conversation history admin settings before they take effect for their Gemini app users (expected by the end of May 2025). By default, “Gemini conversation history” will be ON and ”Conversation retention” will be set to 18 months (inline with current behavior).

Who’s impactedAdmins and end usersAdditional details

If "Gemini conversation history" is OFF, chats are saved in user accounts for up to 72 hours. This lets Google provide the service and process any feedback. This chat activity won’t appear in a user’s Gemini Apps Activity.

Regardless of whether the Gemini app history is on or off, content in chats adheres to enterprise privacy and security protections as described in the Google Workspace Terms of Service. You can also learn more in the Privacy Hub.
If you turn the setting from ON to OFF, existing user conversation history from before the setting is turned OFF is stored for the length of time specified by the "Conversation retention" setting.

This update will not impact your current Gemini app service setting.

This update will not impact Gemini in Workspace apps (e.g., Gemini in Gmail).

Getting started

Admins:

Review and update the "Gemini conversation history" settings before we enforce these settings (expected by the end of May 2025). Visit the Help Center to learn more about configuring Gemini app conversation history settings for your users.
If no changes are made, the default settings will apply: “Gemini conversation history” set to ON and "Conversation retention” set to 18 months. Activity older than 18 months will be automatically deleted.

End Users:
