New Google Calendar shortcuts improve glanceability for screen reader users

What’s changing In addition to the improved announcements for braille comments and highlights available in Google Docs on Web, and the recent launch of more control over accessibility preferences, we’re introducing Announce Shortcuts for Calendar event details.
Users of screen readers can now type a keyboard shortcut (ALT + number, 1 - 7) that verbalizes the content of an event, such as the title, date and time, guest list, and much more. These shortcuts greatly improve glanceability because they enable Calendar details to be heard on demand instead of time consuming navigation through information.

Getting started

Admins: There is no admin control for this feature.
End users:

To view keyboard shortcuts in Calendar, type:

Cmd+/ on Mac

What’s changing In December 2020, we announced an updated and improved experience for the Apps Script integrated development environment (IDE). Since then, it has been possible to access the legacy IDE. By the end of Q3 2022, we will begin turning down the legacy experience. Beginning Q4 2022, the new IDE will become the default experience with no option to revert.

Who’s impacted Admins and developers

Why it’s important Apps Script is a rapid application development platform that makes it fast and easy to create custom business solutions that integrate with Google Workspace and that increase the power of apps including Calendar, Docs, Drive, Gmail, Sheets, and Slides. With this launch, we’ve revamped the cloud-based IDE that helps you create, edit, and manage projects. The new IDE simplifies the experience of developing for Google Workspace — for more information, see our original announcement, as well as additional features we announced in April 2022 to reach parity with the legacy experience.

Introducing new spacing feature on Google Sites

What’s changing In addition to adjusting the spacing between content in Sites using a new density theme setting, you're now able to use spacers to add empty space to your Sites in specific places.
This feature provides more flexibility, especially when designing a vertical layout, and generally makes template and webpage design much easier.

Getting started

Admins: There is no admin control for this feature.
End users: In a Site, add spacers by clicking on the “Spacer” link from the Insert panel on the right. Visit the Help Center to learn more about adding a spacer between elements.

Rollout pace

Rapid Release domains: Gradual rollout (up to 15 days for feature visibility) starting on September 19, 2022
Scheduled Release domains: Full rollout (1–3 days for feature visibility) starting on October 3, 2022

Multi-pinning and picture-in-picture improvements available for Google Meet on Android and iOS

New Google endpoint management setting to show both personal and work entries in Google Calendar on Android devices

Spanish, French, and Portuguese Smart Replies in Google Chat

Smart replies in Google Chat are now available in Spanish, French, and Portuguese. When you are typing a reply, Smart Reply will automatically detect the language and offer responses accordingly. | Learn more.

Spanish, French, and Portuguese Smart Replies in Google Chat

What’s changingIn 2018, we announced Smart Reply in Chat, a feature that saves time by suggesting quick responses to your messages based on your habits.
While these replies were initially offered only in English, you will now see options for Spanish, French, and Portuguese. When you are typing a reply, Smart Reply will automatically detect the language and offer responses accordingly.

Getting started

Admins: There is no admin control for this feature.
End users: Smart Reply auto-detects languages and is ON by default. Once you’ve selected a Smart Reply, you can send it immediately or edit your response starting with the Smart Reply text. You can update your Smart Reply preferences in Google Chat or your Gmail account. At the top right, click Settings > navigate to "Smart Reply.” Visit the Help Center to learn more about saving time with smart reply suggestions.

This feature is available now for all users on web.

Easily share Google Meet artifacts with co-hosts

What’s changing Earlier, Google Meet features such as Meet recordings, Attendance Tracking, Polling, etc, would generate meeting artifacts which were directly shared with the meeting host only. Beginning today, these artifacts can be directly shared with the meeting co-hosts as well.

To share meeting artifacts directly with the co-hosts, the primary meeting host needs to:

Specify co-hosts when creating a meeting on their Calendar event
Select the “call artifacts are shared with the host and co-host you add here” option when adding co-hosts in Google Calendar

Additional details

If you promote someone to a co-host during an ongoing meeting, they won’t get Meeting Artifacts for that particular meeting. You must add them as a co-host when you set up or edit the event in Google Calendar.
If a participant’s co-host status is removed during the meeting, they still get Meeting Artifacts. They won't receive artifacts for any future meetings that use the same code.
Co-hosts added to a series of ongoing meetings get Meeting Artifacts for future meetings that use the same code.
For Google Classroom meetings, all co-teachers are recognized as co-hosts and automatically get Meeting Artifacts. Their co-host status can’t be removed within Google Classroom. If a user is removed as a co-teacher, they no longer receive meeting artifacts.

End users: Visit the Help Center to learn more about sharing meeting artifacts with co-hosts.

New Google endpoint management setting to show both personal and work entries in Google Calendar on Android devices

Quick launch summary In 2020, we announced the ability to see your personal and work calendars together on your Android device. We’re now adding support for Google endpoint management admins to enable this feature for their users.

Users with multiple accounts can easily switch accounts when using the Google Calendar app on a mobile device. This helps users manage multiple accounts more easily, and ensures consistency across Workspace apps.

Now, admins in organizations that use endpoint management will be able to determine whether this feature makes sense for their users and turn it on/off as desired. They can also choose to delay the feature promotion for their users, depending on the change management plan.

Getting started

Admins:

This feature will be OFF by default and can be enabled at the domain level. To enable cross-profile calendar visibility in the Admin console, go to Apps > Web and mobile apps > Google Calendar > Connected App configuration and select “Allow viewing of personal calendar entries in work profile (work profile devices only).”
You can turn off the promotion of this feature to end users here. If you don’t turn off the promotion of this feature, it will be shown to users starting on October 26, 2022.

End users: This feature will be OFF by default. It can be enabled by the user on their device. Please note, you must use Android Work Profile on Android 11+ devices to use this feature. We strongly recommend the latest software updates for the best experience. Visit the Help Center to learn more about turning cross-profile support in Calendar on or off.

Rapid Release and Scheduled Release domains: Gradual rollout (up to 15 days for feature visibility) starting on September 12, 2022
Note: If you don’t turn off the promotion of this feature, it will be shown to users starting on October 26, 2022.

You can now edit someone’s contact information from their information card in apps like Gmail, Calendar, Voice, and Docs on your Android device. Notification permission now required for devices running Android 13

There is an upcoming beta available for the Calendar User Availability API that can be used to programmatically access the working location feature in Google Calendar. Updating framing options for Google Meet hardware in the Admin console

What’s changing We’ve recently announced updates to framing on Google Meet hardware devices, such as improving the discoverability of the “Frame people” feature and improving the overall stability of the framing experience.

As we continue to roll out framing and Meet hardware improvements, the Admin console will be updated accordingly. Over the coming weeks, we will replace the current continuous framing setting with the option to set default framing options based on the camera capabilities of the device — such as the option to frame people by default and speaker or group framing, which will be introduced in the future. This helps ensure that each Meet hardware device uses settings that are best suited for the room and participants.
Getting started

Admins: There is no admin action required. We will provide an update on the Workspace Updates Blog when the new admin controls are implemented.
End users: No action required, this change will happen automatically. Note: This feature is not available when other devices, such as a webcam, are plugged into a meeting hardware kit.

Scaling our Calendar Interop offering

What’s changingCurrently through Calendar Interop, if a Google Calendar user wants to see the availability of a Microsoft Exchange user to schedule a meeting, the request is performed through an Exchange role account. When too many requests occur within a certain timeframe, an Exchange role account can hit its limit, and as a result the Calendar Interop service may not work as intended.
Starting this week, admins can configure multiple role accounts in the Calendar Interop Admin console. This will provide support for a higher number of requests and enable Calendar Interop to work more seamlessly at scale.

Who’s impacted Admins

Why it’s important This feature scales our Calendar Interop offering and improves the workability between Microsoft Exchange and Google Calendar.

Getting started

Admins:

Visit the Help Center to learn more about allowing Calendar users to see Exchange availability data.
If you’re using Calendar Interop with Basic authentication on Microsoft Office 365, upgrade to OAuth 2.0 authentication before October 1, 2022 to retain access. Learn more here.

What’s changing

Coming soon to beta, the Calendar User Availability API will be used to programmatically access the working location feature in Google Calendar. You can gain access to the beta through the Google Workspace Developer Preview Program.

You can preview the API documentation now to prepare in advance and share your initial feedback as we move closer to beta.

Who’s impacted Admins and developers

Why you’d use it The working location feature is an easy way for users to share where they’ll be working for any given day or period of time. Up until now, only end users could create these calendar entries. Now, this information can be read and written using an API to manage and accommodate the needs of your employees.

Customers rely on other applications to set their location context, such as booking a desk with hot desk booking tools or requesting and setting “work from home” days in HR management tools. This creates duplicative work for end users. With the API, a user’s working location can be programmatically set or accessed directly from the user’s calendar to any other third-party application.

Additionally, by surfacing working location context into other systems and tools like internal team directories, customers can optimize the flow of people in their physical office locations. Or you can use the API to prepare for the demand of dining services, conference rooms, and more, based on this data.

Refining notifications on the Google Classroom app We’ve made the following improvement to Google Classroom notifications: In addition to setting your preference for Classroom push notifications, you can now tailor your email notifications from Android or iOS mobile devices. | Learn more.

The text for all push notifications has been updated and we’ve enhanced Classroom action options, such as “Join class” or “View comment.” With this update, Classroom push notifications are much clearer and more actionable. | Learn more.

Insert Google Maps place chips into Google DocsLast year, we added the ability for you to insert a Google Maps place chip into a Google Doc by pasting a Maps link directly into the document. Google Meet now automatically adjusts the volume of meeting participants With meeting participants using various devices to join a meeting, this can lead to discrepancies in volume, with some participants sounding louder than others. Meet will adjust the audio of all participants, helping to ensure everyone is equally loud. To take advantage of this feature, make sure noise cancellation is turned on. We hope this makes for smoother meetings, with less disruptions.

What’s changing In February, we announced that all domains would be upgraded to ‘Chat preferred’ and Google Hangouts would start redirecting to Google Chat. Since then, the Hangouts mobile app, Hangouts Chrome extension, and Hangouts in Gmail on web have been redirecting to Chat.

As a final step in the migration, beginning November 1, 2022, Google Hangouts on web will redirect to Google Chat on web, and Hangouts will no longer be accessible.

Admins will receive an email containing more information about this change, as well as changes in Vault and exporting Hangouts data.

Who’s impacted Admins and end users

Why it’s important Upgrading Google Hangouts to Google Chat gives users a single messaging solution and better integration across Google Workspace. Further, users can take advantage of the feature-rich experience, such as:

Rich-text editing
Tagging specific people with @ mentions
Searching for and sharing GIFs and using emoji reactions
Seamless integration with Gmail, alongside your other critical apps
Spaces, dedicated places for organizing people, topics, and projects in Google Workspace.

Getting started

Admins:

For some users, some conversations or portions of conversations won’t automatically migrate from Hangouts to Chat. If there are impacted users in your domain, you will receive an email notification with more details.
Inform your users about the upgrade from Google Hangouts to Google Chat and the associated changes.

End users: Visit the Help Center to learn more about the switch from classic Hangouts to Google Chat.

Work Insights reporting for Google Chat and Google Meet

What’s changingOver the years, many organizations have benefited from the use of Work Insights, a tool that provides data-driven insights on Google Workspace adoption, work patterns, and cross-team collaboration. With the recent upgrade from Hangouts to Google Chat for Google Workspace customers, we’re pleased to introduce a Work Insights product for Meet and Chat.

Why it’s important Work Insights allows for optimal visibility into your organization’s digital transformation journey, and helps to improve collaboration, promote growth, and much more. Now, you’re able to continue utilizing the same easy-to-read charts and metrics you’re accustomed to for Chat and Meet.

Additional details Work Insights includes features to help mitigate privacy concerns. These include restricting data access, aggregating activity data, requiring a minimum team size, and keeping users’ work items private. No individual user's Google Workspace activity is displayed separately from other users. Learn more here.

Easily customize digital signage on your Google Meet hardware through Appspace

What’s changing In December 2021, we announced the ability for admins to use their displays as digital signage when their Meet hardware devices are not in use. Today, we’re giving admins more options for customization by using their Appspace digital signage content.

Who’s impacted Admins and end users

Why it’s important You can leverage the screensaver on your Google Meet hardware devices to display corporate signage or customized content across your hardware fleet.

We know many of our customers use Appspace for general digital signage needs within their organizations. This update makes it easier for you to use Appspace as a source for content to display on your Google Meet hardware devices.

Please note that screen savers are not interactive—tapping your touch controller or using the remote will cause the screen saver to be dismissed, and the device will return to displaying the agenda on the homepage.

Additional details We highly recommend you use Appspace’s advanced registration flow to make it easier to pre-register all of your Google Meet hardware at once. Note that Appspace is a paid service and there may be additional costs associated with registering your devices on their platform.

In some cases, this feature can conflict with the power-saving feature on your Meet hardware devices. To ensure that your custom screen saver is visible, be sure to set displays as active during working hours in the organizational unit you’re targeting.

Getting started

To use Appspace content on Meet Hardware, you need to:

Register your devices on Appspace. Every hardware device now has an integration ID for use in Appspace’s pre-registration flow. You can find the integration ID on the Device detail page in the Admin console under Devices > Google Meet hardware > Devices or in the new “integrationId” column in your fleet data export file.

You’ll need to add the integration IDs from your hardware devices in the Appspace console ahead of time before configuring your custom screensavers using the Appspace PWA.

Once these steps are complete, navigate to Devices > Google Meet hardware > Settings > Device Settings > Screen saver.

Select the “Custom” option and then choose Appspace as your Digital Signage Provider. Input the appropriate Appspace PWA URL in the URL field, depending on whether you use Appspace’s Public Cloud or Private Cloud:

Public Cloud: https://cloud.appspace.com/app/?registrationmode=passive
Private Cloud: https://<customer>.cloud.appspace.com/app/pwa/?registrationmode=passive

If you do not pre-register your devices with Appspace before changing the screen saver, the screen saver will prompt you to manually pair each device using a code displayed in the room.

Dark Canvas theme now available on Google Meet hardware home screen

What’s changing We’re adding support for a dark home page theme for Google Meet hardware devices. When using Dark Canvas, devices will now feature dark user interface elements on the home screen when not in an active call. Dark Canvas mode can be applied to any Google Meet hardware device in your fleet.

We’re also adding a new batch of Canvas wallpapers, which are specially designed by various artists to look great on Google Meet hardware devices.

Who’s impacted Admins and end users

Why it’s important We know it’s important that your devices look their best when they’re not in use, so we’ve extended our collaboration with the Canvas Project to deliver a fresh new group of wallpapers from top artists.

Additionally, with the upcoming launch of the Series One Desk 27”, we know many users may be sitting closer to their devices than before. Dark Canvas mode is a great way to reduce the brightness of your display while keeping them looking great.

Additional detailsThe existing “Wallpaper” setting in the Admin console has now been renamed “Home screen” and the Canvas option has been split into two options: “Canvas - light” and “Canvas - dark”. Each option will have a unique selection of wallpapers specially chosen that pair well with the selected home screen theme.

Note that custom wallpapers will continue to use light mode.

Getting started

End users: There is no action required.
Admins: This is an opt-in feature and is managed at the OU level. No changes will be made to previous selections and no custom wallpapers will be affected.

The Home screen policy can be managed at Devices > Google Meet hardware > Settings > Device Settings > Home screen.

To unmute yourself, press and hold the spacebar. To mute again, release the spacebar.

To quickly unmute yourself during a meeting, you can now hold down the spacebar to be unmuted, then release the spacebar to return to a muted state. We hope this makes it even easier for you to participate in your meetings by quickly unmuting to say something. This feature will also help in situations where you forget to mute again after unmuting yourself. What’s changingIn the continuing effort to build community and connection in hybrid work, we’re introducing the ability to find and join spaces through Gmail search on web.

When entering queries previously in the Gmail search box, you could see applicable emails or Chat and space conversations by selecting the “Mail” or “Messages” buttons.

Starting today, Spaces in your domain with names or descriptions that match your query will appear when you click the newly added Spaces option. The directory will not only include spaces you’ve joined, but also discoverable spaces and restricted spaces you’ve been invited to, but have yet to join. Users also have an opportunity to preview the space contents before deciding to join by clicking on the “Preview” button next to each unjoined space.

What’s changingWe’re introducing named functions, a new feature that allows you to create high-performance custom functions that support built-in Sheets formula constructs. To maintain reusability across files, you can also import named functions from existing Sheets files, allowing you to use functions created in one Sheets file in a different Sheets file.

Who’s impacted Admins and end users

Why it matters Named functions provide greater formula flexibility, readability, and reusability within and across Sheets. Formulas that were previously complex and difficult to understand can now be simplified into more comprehensible and reusable named functions.

This feature also builds upon our recent formula enhancements: intelligent corrections for formulas and suggestions for formulas and functions in Sheets.

Additional details We’re also launching a bundle of new and powerful functions in Sheets:

LAMBDA: Creates and returns a custom function, given a set of names and a formula_expression which uses them. The formula_expression can be calculated by calling the returned function with as many values as the names declared.
Lambda Helper Functions - MAP, REDUCE, BYROW, BYCOL, SCAN, MAKEARRAY: Advanced array-operating functions which accept a reusable lambda as an argument along with an input array(s).
XLOOKUP: Returns the values in the result range based on the position where a match was found in the lookup range. If no match is found, it returns the closest match.
XMATCH: Returns the relative position of an item in an array or range that matches a specified value. XMATCH supports enhanced match and search functionality and allows wildcard matches with a question mark (?) or asterisk (*).
